The day-to-day disciplines that keep a building running well. Each one has its own page explaining how we do it.
Maintenance & Repairs
Most of what goes wrong in a block gives warning first. Lifts, roofing, communal heating and fire equipment run on a service schedule, and a property manager inspects the building every three months and reports to the board.
- Planned preventative maintenance across plant, roofing, lifts and fire equipment
- Repairs reported through the portal, by telephone or by email
- A 24-hour line for leaks, lost services and lift entrapments
- Section 20 consultation run properly on major works
Tailored Asset Management
A 1960s converted terrace, a Grade I listed country house and a modern waterfront block have almost nothing in common operationally. The plan is built around the building, and the budget and maintenance programme follow from it.
- Reserve fund and lifecycle planning against real replacement dates
- Asset registers and service schedules held alongside compliance records
- Condition, expenditure and outstanding actions reviewed with directors through the year
- A management pack at sale that answers a buyer's solicitor without delay
Staff Management
In a staffed building the concierge is the first person a resident speaks to, and the cleaning team decides whether the place looks cared for on any given morning. We recruit, train and supervise them.
- Recruitment, contracts and payroll handled for the management company
- A minimum of 30 hours' professional development a year for every member of staff
- IOSH-certified property managers, trained to NEBOSH standard at senior level
- The TUPE position established before a handover, not after
- Complaints and procedural failures reviewed by senior management monthly
Smart Technology
Residents and directors can open the building's records themselves, at any hour, instead of waiting for somebody to answer the phone and send an update.
- A leaseholder portal open 24 hours a day
- Message your property manager directly and keep the thread
- Tiered access: enhanced visibility for directors, relevant documents for leaseholders
- Contractor paperwork policed automatically by expiry date
Contractor Management
Nobody joins the panel informally. Contractors supply insurance, qualifications and accreditation up front, and the system removes them from the list the day a document expires.
- Approval documents renewed annually or on expiry
- Quotations above an agreed value, Section 20 consultation above the statutory limit
- Leaseholders may nominate their own contractor on major works
- No fee or commission charged on contractor selection
Utilities Procurement
The communal supply pays for hallway and stairwell lighting, lifts, door entry, pumps and shared heating. On a block of any size it is a material line in the budget.
- Specialist-led procurement for communal supplies
- 100% UK-generated renewable electricity through our Ecotricity partnership
- Consumption reduction, which reaches the service charge as directly as a better unit price does
Finance & Compliance
How your money is handled and how your building is kept compliant, set out in full.
Financial Effectiveness
The management fee is a fixed annual amount agreed in advance, so it appears as an identifiable line in the budget rather than a moving figure. We take no commission and no third-party incentives.
- A fixed management fee, agreed in advance
- No commissions or third-party incentives
- Client money ring-fenced per property, never pooled
- Additional services priced in a published list, inclusive of VAT
- The first arrears reminder issued without charge
Financial Management & Reporting
The budget is prepared before the year starts and apportioned according to the lease, not by any rule of ours. At year end the actual costs are reconciled against it.
- Service charge budgeting, invoicing and collection
- Year-end reconciliation of actual costs against budget
- Payment by bank transfer: we cannot accept cash, cheques or cards
- Statutory year-end accounts and reporting for directors
Compliance & Health & Safety
An annual health and safety risk assessment for every development, carried out by our own trained staff rather than passed to a third party, so that what it finds can actually be acted on.
- Risk assessments carried out in-house by IOSH and NEBOSH trained staff
- A fire door regime under the Fire Safety (England) Regulations 2022
- Building Safety Act duties above 18 metres, and what still applies below 11
- Asbestos, Legionella, electrical, lift and energy performance tracked with renewal dates
